Privacy and Cookies Policy

What we collect, why, who sees it, and how to change your mind. Remaps UK Ltd is the data controller.

1. Introduction

1.1 We are committed to protecting the privacy of our website visitors and customers. This policy explains how we handle your personal data.

1.2 This policy applies where we act as a data controller for the personal data of our website visitors and customers, in other words where we decide why and how that personal data is processed.

1.3 We use cookies on our website. Sections 11 to 14 explain which ones we use and how you can control them.

1.4 Our forms include a tick box for marketing. You choose whether you would like to receive offers and service reminders from us, and you can change your mind at any time.

1.5 In this policy, “we”, “us” and “our” refer to Remaps UK Ltd. For more about us, see Section 15.

2. How we use your personal data

2.1 In this Section 2 we set out the kinds of personal data we may process, why we process it, and the legal basis for doing so.

2.2 Usage data. We may process data about how you use our website (“usage data”). It may include your IP address, approximate location, browser type and version, operating system, referral source, length of visit, pages viewed and the path you took through the website. The source is our analytics tracking. We use it to understand and improve the website and our services. The legal basis is our legitimate interests, namely monitoring and improving our website and services.

2.3 Vehicle lookup data. When you enter a registration number, we use it to look up the make, model, engine and figures for that vehicle so we can show you what we can do and price the work. We keep a record of registrations looked up so we can spot vehicles our catalogue does not cover and prevent misuse of the lookup. The legal basis is our legitimate interests, namely providing and protecting the lookup and improving our coverage.

2.4 Enquiry data. We may process the information in any enquiry you send us about our services (“enquiry data”), such as your name, phone number, email address, postcode, vehicle registration and the work you are interested in. We use it to reply to you, give you a price and arrange the work. The legal basis is taking steps, at your request, to enter into a contract with you, and our legitimate interests in running our business.

2.5 Customer relationship data. We may process information about our relationship with you, including your contact details and our communications with you (“customer relationship data”). The source is you. We use it to manage our relationship with you, keep records of our communications and send you service reminders. The legal basis is our legitimate interests, namely the proper management of our customer relationships.

2.6 Transaction data. We may process information about the work you book and pay for (“transaction data”), including your contact details and the booking and payment details. We use it to carry out the work and keep proper records. The legal basis is the performance of a contract between you and us, and our legitimate interests in the proper administration of our business.

2.7 Marketing data. If you tick the marketing box on one of our forms, including to receive a discount code, we may send you offers and service reminders by email, text and WhatsApp. The legal basis is consent. Every message tells you how to unsubscribe, and you can withdraw your consent at any time.

2.8 Correspondence data. We may process the content and details of any message you send us (“correspondence data”), including messages sent through our website forms. We use it to reply to you and keep records. The legal basis is our legitimate interests, namely the proper administration of our business and our communications with customers.

2.9 We may process any of your personal data where necessary for the establishment, exercise or defence of legal claims. The legal basis is our legitimate interests, namely protecting and asserting our legal rights, your legal rights and the legal rights of others.

2.10 We may process any of your personal data where necessary for obtaining or maintaining insurance, managing risks or obtaining professional advice. The legal basis is our legitimate interests, namely the proper protection of our business against risks.

2.11 We may also process your personal data where necessary to comply with a legal obligation, or to protect your vital interests or those of another person.

2.12 Please do not give us anyone else’s personal data unless we ask you to.

3. Sharing your personal data

3.1 Remaps UK Ltd is part of JF Automotive. We may share your personal data with JF Automotive Ltd where reasonably necessary for the purposes and on the legal bases set out in this policy. For example, both companies use the same customer system, and if you ask for work that has to be done in a workshop, such as an AdBlue repair, we pass your enquiry to JF Automotive in Maidstone.

3.2 We may share your personal data with our engineers, who carry out the work at your home or workplace, so they can contact you and do the job.

3.3 We may share your personal data with our insurers and professional advisers where reasonably necessary for insurance, managing risks, obtaining professional advice or dealing with legal claims.

3.4 We use trusted suppliers to run our business, including our website host, our customer and enquiry system, our booking system, our vehicle data provider and our email and messaging providers. They process personal data only on our instructions and only as far as needed to provide their service to us.

3.5 Payments are handled by our payment services provider. We share transaction data with them only as far as needed to take payments, give refunds and deal with queries about them.

3.6 Advertising measurement. Where you have given us permission on one of our forms, we may share a securely scrambled (hashed) version of your email address with Google LLC. Google uses it only to tell us which of our adverts led to an enquiry or a booking. Google cannot read your email address from the scrambled version, and we do not share your name, phone number or vehicle details for this purpose. The legal basis is consent, and you can withdraw it at any time by contacting us. Google acts as an independent data controller for this data. 3.7 We may also disclose your personal data where necessary to comply with a legal obligation, to protect your vital interests or those of another person, or for the establishment, exercise or defence of legal claims.

4. International transfers of your personal data

4.1 Some of our suppliers may store or process personal data outside the UK. Where they do, the transfer is protected by appropriate safeguards, such as the UK’s adequacy regulations or the standard data protection clauses approved for the UK.

5. Keeping and deleting personal data

5.1 We keep personal data only for as long as we need it for the purposes it was collected for.

5.2 We keep records of work we have carried out, and the related invoices, for as long as the law requires for tax and accounting purposes.

5.3 We may keep your personal data for longer where necessary to comply with a legal obligation, or to protect your vital interests or those of another person.

6. Security of personal data

6.1 We take appropriate technical and organisational precautions to keep your personal data secure and to prevent its loss, misuse or alteration.

6.2 Data sent between your browser and our website, including everything you enter in our forms, is protected by encryption.

6.3 No transmission over the internet can be guaranteed to be completely secure, so we cannot guarantee the security of data sent to us over the internet.

7. Changes to this policy

7.1 We may update this policy from time to time by publishing a new version on our website. Please check this page occasionally to make sure you are happy with any changes.

8. Your rights

8.1 Under UK data protection law you have the following rights. Some of them are complex, so this is a summary. The Information Commissioner’s Office (ico.org.uk) explains them in full.

8.2 Your main rights are:

(a) the right to access your personal data;
(b) the right to have inaccurate data corrected;
(c) the right to have your data erased;
(d) the right to restrict processing;
(e) the right to object to processing;
(f) the right to data portability;
(g) the right to complain to the Information Commissioner’s Office; and
(h) the right to withdraw consent.

8.3 You have the right to know whether we process your personal data and, if we do, to have a copy of it together with details of why we process it, what kinds of data are involved and who receives it. The first copy is free.

8.4 You have the right to have any inaccurate personal data about you corrected and any incomplete personal data completed.

8.5 In some circumstances you have the right to have your personal data erased without undue delay, for example where we no longer need it, where you withdraw consent to processing that is based on consent, or where it is processed for direct marketing. There are exceptions, for example where we must keep it to comply with a legal obligation or for legal claims.

8.6 In some circumstances you have the right to restrict how we process your personal data, for example while we check a complaint that it is inaccurate.

8.7 You have the right to object to processing based on our legitimate interests, on grounds relating to your particular situation. If you do, we will stop unless we can show compelling legitimate grounds that override your interests, or the processing is needed for legal claims.

8.8 You have the right to object to our use of your personal data for direct marketing at any time. If you do, we will stop.

8.9 Where we process your personal data on the basis of consent or a contract, and by automated means, you have the right to receive it from us in a structured, commonly used and machine-readable format.

8.10 If you think our processing of your personal data breaks data protection law, you have the right to complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113). We would appreciate the chance to put things right first, so please contact us.

8.11 Where we rely on your consent, you can withdraw it at any time. This does not affect processing carried out before you withdrew it.

8.12 You can use any of these rights by contacting us using the details in Section 15.

9. Third party websites

9.1 Our website links to other websites, including JF Automotive. We are not responsible for the privacy policies or practices of other websites.

10. Updating your information

10.1 Please let us know if the personal data we hold about you needs to be corrected or updated.

11. About cookies

11.1 A cookie is a small file containing an identifier that a website sends to your browser and your browser stores. The identifier is sent back to the website each time your browser requests a page from it.

11.2 Cookies are either “persistent” cookies, which stay in your browser until their expiry date unless you delete them first, or “session” cookies, which are deleted when you close your browser.

11.3 Cookies do not usually contain information that identifies you personally, but personal data we hold about you may be linked to information stored in and obtained from cookies.

12. Cookies and similar storage we use

12.1 We use cookies and similar browser storage for the following purposes:

(a) security – to help protect our website and our forms from misuse;
(b) your car – if you look up a registration, your browser remembers the car for 30 days so the other pages can show it to you. This is stored only in your own browser, never sent to us with each page, and “Not your car?” clears it straight away;
(c) offers – your browser remembers whether you have already seen or used our discount code offer, so we do not keep showing it to you;
(d) analysis – to help us understand how our website is used and how it performs; and
(e) advertising measurement – Google Ads cookies (_gcl_au, _gcl_aw, _gcl_gb) are set when you arrive from one of our Google adverts. They let us see which advert brought you here if you later make an enquiry. They expire after 90 days.

13. Cookies used by our service providers

13.1 Our service providers use cookies, and those cookies may be stored on your device when you visit our website.

13.2 We use Google Analytics to understand how our website is used. Google Analytics gathers information about website use by means of cookies, and the information is used to create reports about the use of our website. Google’s privacy policy is at https://policies.google.com/privacy.

14. Managing cookies

14.1 Most browsers let you refuse cookies and delete cookies. How you do it depends on your browser. Up-to-date instructions are available from your browser’s help pages, for example:

15.2 We are registered in England and Wales under company number 06886424. Our registered office is at Unit 31 Integra, Bircholt Road, Maidstone, Kent, ME15 9GQ.

15.3 We are a mobile service and work at our customers’ homes and workplaces, so the registered office is not open to visitors.

16. WhatsApp

16.1 We may use WhatsApp to confirm bookings, send updates about your job, answer your questions and, if you have ticked our marketing box, send you offers.

16.2 You can ask us to stop messaging you on WhatsApp at any time, by replying to us there or by contacting us.
